Speaker Information

Essential guidelines and best practices for event speakers. This resource addresses common issues from previous events to ensure your presentation is a success.

Speaker Guidelines

Pre-Event Preparation

  • Submit your presentation materials at least 2 weeks before the event

  • Include a professional headshot and bio (150 words max)

  • Test all multimedia content for compatibility (PowerPoint, videos, etc.)

  • Prepare backup copies on USB drive and cloud storage

  • Please submit your presentation in PowerPoint format (.ppt or .pptx). PDFs or other file types will not be accepted.

  • Canva files, or other formats will not be accepted (even if downloaded into .ppt or .pptx)

  • All videos must be submitted separately from your PowerPoint file

Technical Requirements

  • Use 16:9 aspect ratio for all slides

  • Ensure minimum font size of 24pt for readability

  • All videos should be in MP4 format, embedded within the presentation, and a separate backup copy of each video must also be submitted.

  • Arrive 30 minutes early for audio/visual testing

During Your Session

  • Stick to your allocated time slot - a time clock will be displayed during your presentation. If you go over your allotted time, music will play as your cue to leave the stage.

  • Use the provided wireless microphone at all times

Common Issues & Solutions

Audio Feedback

Position yourself away from speakers, use a directional microphone, and avoid touching the mic.

Presentation Not Loading

Always bring a backup on a USB and email. Use PDF format as a final fallback.

Running Over Time

Practice your talk beforehand, use timer apps, and prepare a condensed version.

Low Audience Engagement

Use interactive polls, ask questions, share personal stories, and move around stage.
